Weddings fail on logistics, not on decor. Use this checklist when you hire tents and chairs in Kisii, Kisumu or anywhere in Nyanza, and the day becomes far less stressful.
1. Fix the guest number, then add a margin
Work from your invitation list, then add ten to fifteen percent. Uninvited but welcome guests are a Kenyan certainty, and standing visitors in the sun is the memory nobody wants.
2. Size the tent for the layout, not just the crowd
Row seating fits far more people into the same area than round tables with service space. Decide the layout first, because it changes the tent size. Our hire guide gives the working numbers.
3. Plan for rain even in the dry season
Nyanza weather turns quickly. Confirm side covers are available, that the ground drains, and that walkways between the tent, catering and parking will not become mud.
4. Inspect the ground and the access
Slope, soft soil, tree roots and overhead cables all affect where a tent can be pegged. A site visit before the week of the wedding prevents a last-minute redesign.
5. Confirm chairs, tables and extras separately
Count chairs for guests, high table, choir or band, and catering staff. Also confirm tables, covers and any staging or arch you want.
6. Agree setup and takedown times in writing
Decor teams need the tent standing the day before, not on the morning. Put arrival and dismantling times in the booking so nobody argues on the day.
7. Book early and hold the date
December, August and school holidays fill up first. Reserve on the equipment hire page or request a quote, and follow your booking with its reference on the tracking page.
8. Add branding or a custom structure if it matters
Entrance arches and backdrops photograph well and cost less than most couples expect - see event branding, or read about handling the whole setup through one supplier.
